Use case · Missed calls
AI answering service for small businesses: every caller gets an answer.
Missed business calls always come at the worst time: at lunch, in a meeting, on another line. An AI assistant picks up for your team, says up front that it’s an AI, notes the request, and books the slot.
- Same number, forwarded only if needed
- Says it’s an AI assistant from the first hello
- Appointment booked in your team’s calendar

Call for Julien · 12:40 PMSimulated
The problem, up close
Thursday, 12:40 p.m. The phone rings, and Julien is already on a call.
Julien, a sales rep, has been on the phone with a customer for twenty minutes. The front desk is out to lunch. On the main line, Mr. Bernard is calling: he saw the product on the website and would like a demo next Tuesday.
Four rings, then voicemail. Mr. Bernard hangs up without leaving a message: he has two other suppliers to call. At 2:10 p.m., Julien sees an unknown number in his missed calls, calls back, and gets voicemail. No one will ever know a customer wanted to buy that day.
It’s not the team’s fault: they were busy working. The phone just rings at hours when no one is available, and a caller in a hurry doesn’t always try again.

What the tool does, what stays with your team
The AI assistant picks up. Julien keeps the sale.
What the assistant can say, book, or promise is written down with you before go-live.
The tool
Picks up for your team
When the line is busy or no one answers after a few rings, it takes the call and says right away that it’s an AI assistant.
Understands what the caller wants
Demo, quote, order status, or complaint: it recognizes the reason for the call and asks the two or three questions you’ve set up.
Books an open slot
It checks the sales rep’s calendar and offers a time that’s actually open: “Tuesday at 11 a.m. it is. Julien will confirm.”
Logs the call in the CRM
Name, need, time slot, and a summary of the call land in the customer record, with a message to Julien so he knows everything before he calls back.
Your team
Confirms the appointment
Julien reads the summary, then keeps the slot or suggests another. He walks into the demo already knowing what the customer needs.
Handles the tricky calls
Complaint, negotiation, unhappy customer: the assistant hands off to a person, along with everything already said.
Two modes, set task by task
At first, the assistant offers the customer a slot, then waits for Julien to confirm it: that’s the “Julien will confirm” step in the demo.
Once booking runs smoothly, it books the slot on its own and sends the customer a confirmation. Complaints and anything outside the rules go back to a person.
Plugged into your software
Your number, your calendar, your CRM: nothing changes.
Customers dial the same number as before. Their calls go to the assistant only when no one picks up, through call forwarding set up with your phone carrier.

Handling time
10 min20 sec
per call
In the demo example, Julien spends 20 seconds reviewing and confirming a meeting that’s already logged, instead of 10 minutes calling back and booking it by hand.

Missed business calls. Straight answers.
01How many calls does a small business really miss, and how can you measure it?
I won’t give you an average: it depends on your trade and your hours, and the figures going around rarely come from serious studies. The most reliable number is your own: your carrier or phone system usually shows unanswered calls, hour by hour. One week is enough to see which time slots are slipping through the cracks.
02When no one answers, does the customer call back?
Sometimes, but you don’t know which ones. A loyal customer calls back. A prospect comparing three suppliers often moves on to the next one. So the goal isn’t to answer every call, but to stop losing the ones that mattered.
03What can a small business do when no one can pick up?
There are three options: voicemail, an outsourced answering service, or an AI assistant that takes the call, notes the request, and books the appointment. To compare what they cost, read the article on what an AI receptionist costs. The service itself is described on the AI receptionist page.
04Does the caller know they’re talking to an AI?
Yes, from the first words: the assistant introduces itself as your company’s AI assistant. It’s a matter of honesty, and the EU AI Act has required it since August 2, 2026. If the caller would rather speak to a person, the assistant takes their details so someone can call them back.
05Do I have to change my number or phone carrier?
No. You keep your number and your carrier: call forwarding sends unanswered calls to the assistant, or all calls during the hours you choose. You can switch it off in one click and take every call yourself again.
