AI for wholesale distribution: orders entered, quotes priced.
AI for distributors reads what your customers send (purchase orders, price requests, stock questions), applies each customer’s price list, and prepares the order in your ERP. Your order desk checks everything at first. Later, orders with no discrepancies can go in on their own, if you choose.
- PDF, email, and Excel orders read
- Price lists, tiers, and discounts applied

Distribution margins leak away in retyping.
Busywork nobody takes seriously, until the day a misapplied discount eats up the margin on an account.

Orders in every format
PDFs, orders typed into emails, Excel sheets, photos of order slips: the order desk rekeys every line into the ERP, SKU by SKU.
- 02
Pricing terms nobody can find
Customer price lists, quantity tiers, product-family discounts, exceptions: every quote means hunting for the right terms, and a mistake comes out of your margin.

“Is it in stock?” all day long
Stock, lead times, shipment tracking: the same questions interrupt your inside sales reps mid-negotiation.
Six tasks to hand off to AI

Six uses of AI for wholesale distributors. Each one starts under the eye of the person who does the task today. Then you choose which ones run on their own.
- Can run on its own
Enter orders received by email
The purchase order is read, each line matched to your SKUs, even under the customer’s own part number, and the order created in the ERP.

The distribution guide
AI for distributors: a use-by-use guide.
In B2B wholesale distribution, margins depend on high volumes and finely negotiated terms. That’s where AI gives time back: on work that’s repetitive but demanding, like reading documents that arrive in every format, applying complex pricing rules, and answering recurring questions fast.
This guide covers the uses of AI in wholesale distribution that matter most to a B2B wholesaler or distributor, the data each one needs, and what stays with your team.
Unusual situation? In 30 minutes, I’ll tell you what AI can take on, and what it shouldn’t do.
Book a call01AI order entry for distributors: how it works
It’s where most distributors start with AI, because it’s the most frequent task. The purchase order comes in as a PDF, in the body of an email, as an Excel sheet, or as a photo. The tool identifies the customer, reads each line, and matches it to your SKUs, even when the customer uses their own part numbers or a rough description. It checks quantities, units (each, case, pallet), and the expected price, then prepares the order in the ERP.
Anything out of the ordinary is flagged instead of entered:
- a price that differs from the customer’s price list;
- an unusual quantity for that customer;
- an item that’s unknown, discontinued, or out of stock at that warehouse.
At first, the order desk approves every order. Once clean orders have proven themselves, they can go in on their own, and the rest keep coming back to your team. It’s business process automation with AI, plugged into your ERP, not one more app to open.
02Negotiated pricing and discounts: what AI applies
AI for distributors doesn’t make up your terms. It applies the ones you already have. Sometimes they live in the ERP, sometimes in a spreadsheet, often in the heads of two sales reps. Part of the audit is writing them down: price lists by customer or buying group, quantity tiers, product-family discounts, prepaid freight thresholds, net prices negotiated for a project or a period.
Once those rules are set, the tool prices a request the way your best sales rep would, citing the rule it used. Any exception (an off-list discount, a price below the margin floor you set) goes to a person, with the reason. Quotes go out faster, and your margin no longer depends on who answered that day.
Rules change? You update them in one place, and the tool follows them from the very next order.
03AI, EDI, and B2B portals in distribution: who does what
EDI remains the best channel for the accounts that use it: AI has nothing to add there. It handles everything else, meaning the orders that still come in by email, PDF, or phone, often from your many smaller customers.
A B2B portal and AI order entry work together. The portal serves customers who want to order on their own. AI serves the ones who will keep sending emails, whatever you offer them. You don’t have to talk them into changing their habits.
On the technical side, the tool connects to your ERP through its API or exports, just like the portal. If your systems don’t talk to each other yet, an API integration connects them, so everyone reads the item, the stock, and the price from the same place.
04Stockouts, follow-ups, reports: AI that helps your sales team
Once retyping is gone, AI also helps you sell. It spots items about to run out, based on open orders and history, and proposes the supplier order to purchasing. It follows up on unanswered quotes, at the time you set. Every Monday, it prepares a one-page report: sales, margin by product family, customers ordering less than usual, with the likely cause of each variance.
When the order desk is swamped, an AI receptionist can take calls, log the order or question, and alert the right sales rep.
This doesn’t replace your inside sales reps. They keep the relationships, the negotiation, and the tricky cases. The time they get back goes to slipping accounts and new customers, the work they never have time for. Do you also make some of what you sell? Technical quotes and quality are covered in AI for small manufacturers.
Questions
What distributors ask. Straight answers.
ERP, EDI, pricing, team: what distribution business owners ask me before a first project.
01Can AI enter the orders we get by email into our ERP?
Yes, if your ERP accepts orders through an API or an import. I check yours on the first call. AI reads the purchase order, matches the SKUs, and creates the order. An unknown SKU is flagged to the order desk, which approves it once, and from then on it’s recognized.
02Will AI for distributors replace our inside sales reps?
No. It takes away the retyping and the repetitive replies. Your inside sales reps keep the relationships, the negotiation, and the pricing decisions. What they gain is time to call their customers back.
01How much does AI for distributors cost?
It depends on the number of tasks and systems to connect, but the price is fixed and written in the proposal, along with the go-live date. The 10-day audit measures the time spent retyping, and its fee is credited toward the prototype if you continue.
02How long does it take to automate order entry?
Plan on the 10-day audit, then 5 days of prototyping on your own purchase orders. Go-live follows on a date in writing. For the first few weeks, the order desk approves each order before it goes into the ERP.
01Does our negotiated pricing stay confidential with AI?
Yes. Your price lists stay in your ERP, and the accounts and code are in your name. The AI provider is named in the contract, European if you prefer, and its terms rule out training on your data.
