Service · AI receptionist
AI receptionist: no call goes unanswered.
When your team is on another call, in a meeting, or at lunch, the AI receptionist picks up, introduces itself as an AI assistant, takes the request, and books the appointment. Anything outside its scope goes to a person.
- You keep your current number

The problem
A missed call can mean a lost customer.
Lunch hour, end of day, peak times: the phone rings when everyone’s busy. Callers don’t always leave a message. They just dial the next number.
- 01
Calls come in at the wrong time
Sales reps in meetings, the front desk already on the line, a shop floor that doesn’t pick up: calls get lost right when they’re most frequent.
- 02
Voicemail isn’t enough anymore
A partial message, a misheard number: you call back, rebuild the context, and the prospect may already be gone.
- 03
Phone menus annoy callers
“Press 1, press 2”: phone menus wear callers out. They route calls but never handle the request.
How it works
From the first hello to a booked appointment.
The agent answers in natural language, using your information and your rules. Every call produces a written summary, sent to the right person.
- Step 1 · Picks up
It answers, says it’s an AI
When no one is available, or during the hours you choose, the agent answers and clearly states that it’s an AI assistant.
- Step 2 · Understands
It understands what the caller wants
It identifies the caller, the reason, and the urgency, and asks the questions your rules call for, with no phone menu.
- Step 3 · Checks
It checks calendar & CRM
Open slots, customer record, business hours, lead times: it answers only with the information you’ve given it.
- Step 4 · Acts
It books or hands off
Appointment in the calendar, or a transfer to a person if the request is out of scope. The call summary goes out by email.
Two modes, set task by task
The agent takes down the request and offers a time slot. Someone on your team confirms the appointment before it goes to the customer. Every setup starts this way.
Once its bookings have been confirmed without changes for several weeks, the agent can set appointments on its own. A complaint or a complex request always goes to a person.
Before and after
What changes for every incoming call.
The agent takes the calls that follow a known pattern. The rest reach your team, with the context already noted.
| Task | Today | With the tool | Review |
|---|---|---|---|
| Call during the lunch break | Voicemail, callback in the afternoon | Call taken, request noted, callback set | Fully automated |
| Meeting or demo request | Back-and-forth to find a time | Slot offered and booked in the calendar | Sales rep approval |
| Question about hours or a lead time | A busy person gets interrupted | Answer given using your information | Automatic after trial runs |
| Complaint or complex request | Voicemail to decipher | Transfer or callback, with the call summary | Approval by a person |
| Tracking the week’s calls | No reliable history | Every call summarized and filed in the CRM | Fully automated |
Typical example: actual times depend on your volumes and are measured during the audit.
Use cases
Six uses for an AI answering service.
Each AI voice agent is tuned to your actual calls: common reasons for calling, business hours, who to notify.
- 01
Overflow calls at peak hours
Takes calls when every line is busy, notes the request, and alerts the right person.
- 02
After-hours phone answering
Evenings, early mornings, or Saturdays: callers get an answer and a scheduled callback.
- 03
Appointment booking by phone
Demos, visits, service calls: slot booked in your calendar, confirmation sent to the caller.
- 04
Lead qualification
Asks the planned questions (need, volume, timeline) and creates the CRM record before handing off.
- 05
Order status, no waiting
Gives an order’s status or a delivery date from the ERP, without tying up the order desk on the phone.
- 06
Service requests
Notes the breakdown, the address, and the urgency, then creates the ticket for the on-call technician.
How many calls do you miss each week?
In 30 minutes, you’ll hear an AI voice agent tuned to a situation close to yours. No commitment.
Who it’s for
A good fit if…
- Calls go unanswered at peak hours
- People call for similar reasons from week to week
- Your appointments are booked in an online calendar
- A missed call can cost a sale or a customer
Limits
What I don’t do
- Making callers believe they’re talking to a person
- Letting the agent handle a sensitive complaint alone
- Answering with information you didn’t provide
- Cold-calling consumers with automated calls

The guide
AI receptionist: uses, rules, costs, buy or build.
An AI receptionist is a phone assistant that understands speech, answers in natural language, and acts in your tools: it takes down a request, books an appointment, transfers to the right person. It’s also called an AI voice agent, an AI phone answering service, or a voice chatbot.
Before you hand over your calls, four topics matter: what it can do, what it must disclose, what it really costs, and whether to buy one or have one built.
Unusual situation? In 30 minutes, I’ll tell you what AI can take on, and what it shouldn’t do.
Book a call01What does an AI receptionist do, and what doesn’t it do?
An AI receptionist takes incoming calls when no one is available: during the lunch break, at the end of the day, at peak times, or outside business hours. It relies on three building blocks: speech recognition, which turns speech into text; an AI model, which understands the request and picks the answer; and speech synthesis, which replies in a natural voice.
What it does well: greeting callers, identifying why they’re calling, answering common questions with your information, booking a slot, creating a CRM record, and alerting the right person.
What it shouldn’t do: negotiate a price, handle a sensitive complaint alone, make up an answer it wasn’t given, or pass itself off as a person. In those cases, it transfers the call or schedules a callback, with a summary of the conversation. The goal is simple: no caller hangs up without an answer, and your team keeps the conversations that call for judgment.
02Phone menu (IVR) or AI voice agent: what’s the difference?
An interactive voice response system (IVR) offers a keypad menu: “press 1 for sales.” It routes the call but handles nothing. If no one picks up at the end of the queue, the call ends up in voicemail.
An AI voice agent has a conversation. Callers explain what they need in their own words, and the agent asks the right questions and acts: it checks the calendar, offers a slot, creates the record, sends the confirmation. There’s no menu tree to memorize.
- The IVR sorts; the AI voice agent handles.
- An IVR assumes someone is available at the end of the queue; the agent takes over when no one is.
- An IVR keeps nothing; the agent writes up every call.
The two can coexist: your phone system stays in place, and the agent only takes unanswered calls, or calls during the hours you choose.
03An AI receptionist connected to your calendar and CRM
A voice agent that can’t see anything about your business can only take messages. Connected to your tools, it becomes genuinely useful.
- The calendar (Google Calendar, Outlook): it sees each person’s open slots and books directly, following your rules on duration and lead time.
- The CRM: it recognizes an existing customer, finds their contact person, and files the call summary in their record.
- The ERP: it can give the status of an order or a delivery without tying up the order desk.
- Email and chat: the call summary goes to the right person by email or Microsoft Teams.
These connections go through your software’s APIs: that’s what API integration is for. On the phone side, you keep your number: forwarding unanswered calls, or calls during certain hours, is usually enough.
And when requests come in writing rather than by phone, the same knowledge can power an AI chatbot for your website.
04Legal rules: AI disclosure, recording, cold calling
Disclosing AI. Since August 2, 2026, Article 50 of the EU AI Act requires telling callers they’re talking to an AI, clearly and at the latest at the first exchange. In practice, the agent introduces itself as an AI assistant in its very first sentence. It’s also a matter of trust: a caller who finds out afterward that they were talking to a machine feels deceived.
Recording calls. A recording contains personal data: the GDPR requires informing the caller, limiting how long it’s kept, and protecting the data. Most of the time, a summarized transcript is enough, without keeping the audio.
Cold calling. Outbound calls to consumers are strictly regulated. The voice agents I build take incoming calls and call back people who asked for it. I don’t build automated cold calling.
For a sensitive use case (health, banking data), you still need a lawyer’s advice.
05What does an AI voice agent cost?
Like a subscription AI phone answering service, an AI voice agent is priced in three parts. Know them before you compare offers.
- Setup: the greeting, call reasons, transfer rules, connections to the calendar and CRM, testing. At DigitalCX, it’s priced once and for all, in writing, before any configuration starts.
- Usage: telephony and the voice and AI models are billed per minute by their providers. These accounts are in your name, with no markup from me: you pay for what you use.
- Support: adjustments, new call reasons, quality checks on answers. It’s monthly and optional.
Watch out for packages that hide real usage or charge for every new rule. Always ask what happens if your call volume doubles, and who owns the number.
06Off-the-shelf subscription or custom-built AI receptionist?
Ready-to-use voice agents are available by subscription. They fit when the need is standard: taking a message, giving business hours, booking in a common calendar app.
Having your voice agent custom-built makes sense when it needs to:
- check your CRM or ERP to recognize a customer or give an order’s status;
- follow rules specific to your business (urgency of a service call, service area, type of customer);
- transfer calls based on precise criteria, to the right person at the right time;
- stay entirely in your name, so you can change its settings or your provider without losing everything.
Either way, ask the same questions: does the agent say it’s an AI? What does it do when it doesn’t know? Where does call data go? Can you shut it off in one click? If the answers are vague, move on.
Questions
Your questions about the AI receptionist. Straight answers.
Transparency, errors, phone system, cost: what you’ll want to know before you hand over your calls.
01Does an AI receptionist have to say it’s an AI?
Yes. Since August 2, 2026, the EU AI Act requires informing callers at the latest at the first exchange. So the agent introduces itself as an AI assistant in its very first sentence, and I don’t build agents that skip this step.
02Can an AI receptionist make up an answer?
It’s set up to answer only with the information you give it. When it doesn’t know, it says so, notes the question, and arranges a callback from someone on your team.
01Does the AI receptionist work with my current phone system?
Usually, yes: you keep your number and forward unanswered calls, or calls during certain hours, to the agent. I check your setup on our very first call.
02How long does it take to get an AI receptionist up and running?
After the audit, a prototype runs in five days on your real call reasons. The agent then picks up for good on the agreed date. Your team listens to it and fine-tunes it before it takes a single real customer call.
01How much does an AI phone answering service cost?
At DigitalCX, setting up the AI receptionist is priced once, in writing, before work starts. Usage (telephony, voice, AI model) is billed per minute by the providers, on accounts in your name and with no markup.
02Will an AI receptionist replace my front desk?
No. It takes the calls no one can take and the simple requests. Your front desk team keeps the conversations that matter, with the context of every call already noted.
