Leads, files, questions: what keeps agents tied to their desks.
Time spent in the office is time not spent with sellers and buyers.
- 01
Leads that come in during showings
Portals, website, phone, evenings and weekends: a buyer left waiting until Monday for a reply has often already called another agency.

Files pieced together one document at a time
Property inspection reports, title deed, tenant paperwork: every file gets built through rounds of reminders and lost attachments.
- 03
The same questions, over and over
Tenants, landlords, condo owners: the date of the annual meeting, the amount of the fees, the status of a repair, ten times a day.

The real estate guide
AI for real estate: useful before it’s flashy.
There’s a lot of talk about virtual tours and automated valuations. In a real estate agency or a property management firm, time gets lost elsewhere: answering leads, building files, writing listings and reports. That’s where AI gives hours back, without changing how you sell or manage.
Unusual situation? In 30 minutes, I’ll tell you what AI can take on, and what it shouldn’t do.
Book a call01AI for real estate agencies: replying nights and weekends
Many leads come in while agents are at showings or at home: a call at 7 p.m., a portal message on Sunday. An AI receptionist or a chatbot on the agency’s website replies right away. It presents the property from the listing, asks the qualifying questions, and suggests a showing slot in the right agent’s calendar.
Anything outside its scope (an offer, a negotiation, a hesitant seller) is passed to a person with a summary of the conversation. The tool says it’s an AI and never commits to a price. The client gets an answer that same evening, and your team picks it up at the right time, with an already-qualified lead instead of a voicemail to decode.
02Qualifying buyers and tenants without discrimination
Qualification is based on criteria we write together: needs, budget, financing, and timeline for sales; income and supporting documents for rentals. In France, the list of documents you can ask a rental applicant for is set by decree, and the tool doesn’t ask for any others.
No prohibited criterion (origin, family status, age…) goes into the sorting, and the tool doesn’t turn anyone down: it ranks complete applications and flags incomplete ones. Each ranking is traceable, so you can show how an application was handled. The criteria are reviewed with you before go-live, then whenever the regulations change, and an applicant can always ask to speak with a person. Choosing the tenant stays with a person.
03AI for property management: what can be automated
In property and condo association management, AI takes on the repetitive tasks: answering routine questions from tenants and condo owners, preparing unpaid-rent reminders, comparing move-in and move-out inspections, writing owner statements from the numbers in your software.
- At first, reminders and statements are reviewed before they’re sent. Once the tone and the numbers are approved, they can go out on their own.
- Condo owners’ questions get answers drawn from your documents (bylaws, meeting minutes, fee notices). At the slightest doubt, they go to the property manager.
- Disputes, insurance claims, and repair decisions stay with the property manager.
The tool works inside your property management software. It doesn’t add another screen for your managers, and every message sent stays visible in the unit’s history.
04What AI leaves to the agent
Valuation, negotiation, the seller’s trust, the showing itself: none of that gets handed to an AI. The goal isn’t to replace your agents or property managers, but to give them back the time they spend in the office.
An agent who no longer spends Monday morning listening to weekend voicemails spends it in appointments, on valuations, or winning new listings. A property manager who no longer answers questions about the date of the annual meeting ten times a week has time to follow up on repairs, claims, and owners. The same logic applies to any service business that gets a steady stream of requests: see also AI for field service companies.
Questions
Questions from real estate agencies. Straight answers.
01Will AI replace real estate agents?
No. It takes on repetitive replies, appointment booking, and paperwork; the agent keeps valuations, showings, and negotiation. The time it gives back goes into winning new listings.
02Does AI connect to our transaction or property management software?
Yes, as long as it can share its data through an API or exports, as most software on the market can. We’ll check it together on your actual software.
01Where should a real estate agency start with AI?
Most often with missed leads: an AI receptionist or a chatbot that answers in the evening and on weekends and books showings. It’s the task whose effect shows up fastest, right in the calendar.
02How do you measure the return on AI for a real estate agency?
The 10-day audit first measures the time spent and the leads left unanswered. After go-live, we compare the same indicators: response time, showings booked, hours back in the field.
01Are tenant files protected?
Yes. Only authorized documents are requested, they stay in your tools, and each person can only access them according to their rights. Retention periods are set with you, and no document is ever used to train an AI model.
