The problem
Your visitors have a question, and leave without an answer.
A prospect lands on your website in the evening, looks for a specific piece of information, and can’t find it in two clicks. They don’t fill out the form: they go elsewhere.
- 01
No one to answer in the evening
Inquiries come in at 9 p.m., on a Saturday, between two meetings. The form waits until Monday; the prospect doesn’t.
- 02
The same questions, over and over
Lead times, shipping costs, warranties, delivery areas: every day, your team answers questions whose answers are already on the website.
- 03
Inquiries you can’t sort
Real quote requests and off-topic messages all land in the same inbox, without the context needed to reply.
How it works
A website chatbot that answers from your pages, not at random.
The chatbot reads your website and the public documents you choose, answers from them alone, and spots the moment a request should go to a person.
- Step 1 · Greets
It introduces itself as an AI
From the very first message, visitors know they’re chatting with an AI assistant, as the EU AI Act has required since August 2, 2026.
- Step 2 · Answers
It answers from your pages
Lead times, shipping, warranties, specs: the answer comes from your website and your product sheets, with a link to the page.
- Step 3 · Qualifies
It qualifies the inquiry
Need, quantity, timeline, contact details: it asks the right questions before passing the inquiry on, with no long form to fill out.
- Step 4 · Hands off
It hands off to your team
The inquiry lands in your CRM or inbox, summarized, or the visitor books a meeting directly.
Two modes, set task by task
For a quote, a lead time that commits the company, or a special case, the chatbot drafts the reply and a sales rep confirms it before it goes out.
For questions answered on your pages, it replies on its own, day and night. If the answer isn’t on the website, the question goes to your team. No improvising.
Before and after
What the chatbot changes for your visitors and your sales.
The fastest gains come from frequent questions and from inquiries that arrive outside office hours.
| Task | Today | With the tool | Review |
|---|---|---|---|
| Question about lead times or shipping | Email in the evening, reply the next day | Instant answer, with a link to the page | Fully automated |
| Quote request | Incomplete form, back-and-forth to clarify | Need qualified, passed on with a summary | Sales approval |
| Appointment booking | Email back-and-forth to find a time slot | Slot booked in your calendar | Automatic after trial runs |
| Technical question about a product | Transfer to the technical team | Answer from the product sheet, or a handoff | Automatic if on the sheet |
| Customer complaint | Message buried in the contact inbox | Passed right away to the right person | Team approval |
Typical example: actual times depend on your volumes and are measured during the audit.

The guide
AI chatbot for your website: what to know first.
A website chatbot is a small chat window that answers visitors at any hour. With AI, it’s no longer limited to a menu of canned questions: it understands questions asked in the visitor’s own words and answers from your own pages.
This page is about your website’s visitors: prospects, customers, buyers. For an assistant that answers your team from your internal procedures and product sheets, see the AI chatbot for business built on your documents.
Unusual situation? In 30 minutes, I’ll tell you what AI can take on, and what it shouldn’t do.
Book a call01What an AI chatbot changes on your website
A business website rarely answers a prospect’s specific questions: the lead time for a 40-pallet order, whether a part is compatible, the warranty on a piece of equipment. The information often exists, but it’s scattered across several pages, and the visitor gives up.
An AI chatbot changes three things. Instant answers: visitors get the information in seconds, evenings and weekends included. First contact: instead of a blank form, the conversation clarifies the need and collects contact details at the right moment. That’s where lead generation happens. Knowing your visitors: the conversation log shows what people look for on your website, and what they don’t find.
It’s not a substitute for your sales team: it hands them clearer inquiries and saves them from answering the same questions ten times a day.
02Sample conversations: lead times, shipping, warranties
The most common questions on a small business website are similar from one industry to the next. A few typical examples:
- Shipping: “Do you ship to Belgium within 48 hours?” The chatbot gives the zones and lead times from your Shipping page, with the link.
- Warranty: “What’s the warranty on the VX-40?” It cites the duration and conditions from the product sheet.
- Quote: “I need a price for 200 units.” It asks for the part number, quantity, desired lead time, and contact details, then passes it on.
- Meeting: “I’d like a demo.” It offers open slots from your sales rep’s calendar.
When the answer isn’t on your pages, it says so, and offers to pass the question to your team rather than improvise.
03Qualifying website inquiries and handing off to your team
A good chatbot knows when to stop. It hands off when a request commits the company (an off-catalog price, a tight deadline, a dispute), when the visitor asks for it, or when the question falls outside its written scope.
Before passing an inquiry on, it qualifies it: it asks the two or three questions your sales rep would ask anyway (need, quantity, timeline, company). The inquiry then lands in your CRM, your inbox, or Slack, with a summary of the conversation. Your team calls back already knowing what it’s about.
You choose the rules: which inquiries go to whom, which deserve a same-day callback, which get a meeting booked straight into the calendar. The same handoff exists on the phone, when the AI receptionist picks up instead of a busy line.
04Adding an AI chatbot to WordPress, Shopify, or a custom site
Adding a chatbot doesn’t mean rebuilding your website. On WordPress, WooCommerce, Shopify, or PrestaShop, it installs through a plugin or a short script added to your pages. On Webflow, Wix, or a custom site, the script is enough.
Two things matter for SEO and the visitor experience. Speed: the script loads after the page content, so it doesn’t delay display. Restraint: the window doesn’t pop open on its own mid-read, and it stays usable on mobile.
To answer accurately, the chatbot reads your pages, your product sheets, and the public documents you choose (terms of sale, manuals). When you change a page, it picks up the change at the next index update. If your website itself is slow or dated, it’s better to start with a website redesign.
05EU AI Act and GDPR: the rules for website chatbots since August 2026
Since August 2, 2026, Article 50 of the EU AI Act applies: anyone interacting with an AI system must be told so, unless it’s obvious. For a website chatbot, the simple rule is to say so in the very first message (“I’m the AI assistant for…”). That’s what I set up by default.
The GDPR applies as soon as the chatbot collects a name, an email address, or a phone number. You have to tell visitors how their data is used, ask only for what’s needed, set a retention period, and sign a data processing agreement with the AI model provider. The chatbot doesn’t need advertising cookies to work.
These rules don’t get in the way: they reassure visitors, who know who they’re talking to and what happens to their information.
06How much does an AI chatbot for your website cost: platform or custom?
Subscription chatbot platforms, or your CRM’s live chat tools, can be set up in a few hours. They suit a simple brochure website, when there are few questions and no software to connect.
Custom-built makes sense when the chatbot needs to read a technical catalog, check an order’s status, book in your calendar, or create the record in your CRM. It also spares you a per-conversation or per-seat subscription, and the code belongs to you.
At DigitalCX, the audit, the prototype on your pages, and the launch each have their own fixed price, written into the proposal. After that, you pay the providers directly for AI model usage, which tracks the number of conversations, and for hosting, with no markup from me. Monthly support is up to you.
Questions
Your questions about the website chatbot. Straight answers.
Installation, speed, GDPR, price: the questions I get before the chat window goes live.
01Will an AI chatbot slow down my website?
No, not if it’s installed properly. The chatbot script loads after the page content, which displays just as fast as before. I measure the website’s speed before and after launch.
02Can the chatbot book meetings or take quote requests?
Yes. It books a slot in your calendar, or collects the need, the quantity, and the contact details for a quote request. The quote itself is still priced by your team, or by a tool you’ve approved.
01How do I add an AI chatbot to my WordPress site?
With a plugin or a short script added to your pages, without touching your theme. The chatbot then reads your pages and product sheets to answer. The same method works for WooCommerce, Shopify, and PrestaShop.
02Is the chatbot on my website GDPR and EU AI Act compliant?
It is if it’s designed that way from the start: a clear statement that it’s an AI, information on how data is used, only the necessary contact details requested, a contract with the model provider. I settle these points before launch, not after.
01How much does an AI chatbot for your website cost per month?
Setup is paid once, at a fixed price stated in the proposal. Each month, all that’s left is AI model usage, billed in your name by its provider based on the number of conversations, and hosting. Monthly support is optional.
02How long does it take to get a website chatbot live?
After the 10-day audit, the prototype answers from your pages in 5 days, and you test it before the public does. Launch follows, on a date written in the proposal.
